Privacy Policy

The Kinetic Management Portal ("the App") is operated by Craig Rogers / Kinetic Management ("we", "us", "Kinetic"). This policy describes what information we collect, how we use it, and who we share it with.

The App is provided only to existing clients and staff of Kinetic Management. Access is by invitation. If you have not received an invitation from us, the App is not for you.

1. Information we collect

From staff (admin and team members)

Your name and email address (collected when an account is created for you)
A device identifier (push token) generated by Apple if you enable push notifications
The content you create inside the App: client records, projects, tasks, invoices, contracts, messages, notes, settings

From clients

Your name, email address, and phone number (entered by Kinetic when your client account is created)
A device identifier (push token) generated by Apple if you enable push notifications
Messages you send within the App
Signatures you draw on contracts
A record of which invoices you view or pay
Any other information you choose to provide through the App

Automatically

Sign-in events (timestamp and IP address) recorded by our authentication provider for security
App version and operating system version

We do not collect: your location, your contacts, your photos, your microphone, analytics or usage tracking, advertising identifiers.

2. How we use this information

To operate the App (sign you in, show your projects, send messages, etc.)
To send you email notifications about your account (invoices, contracts, messages)
To send you push notifications about activity on your account (if enabled)
To process payments via PayPal, Cash App, and Venmo — we do not store payment card information; these are external links to those platforms
To comply with our legal and tax obligations

3. Who we share it with

We share data only with the third-party services required to operate the App:

PayPal, Cash App, Venmo	Payment processing	Only the invoice amount and a reference. Payment itself happens on those platforms.

We do not sell or rent your information to anyone. We do not share data with advertisers or analytics companies.

4. Data retention

We retain your data for as long as your client or staff relationship with Kinetic Management is active, plus a reasonable period afterward for record-keeping, tax compliance, and dispute resolution (typically up to 7 years).

You may request deletion of your data at any time by emailing craig@kinetic-mgmt.com. We will delete what we can while preserving records required by law.

5. Security

All data is encrypted in transit using TLS 1.2 or higher
Data at rest is encrypted in our database
Authentication tokens are stored in your device's secure Keychain
Access to admin features is restricted by role-based permissions and row-level security policies enforced at the database

No system is perfectly secure. If we become aware of a breach affecting your information, we will notify you within 72 hours.

6. Your rights

Regardless of where you live, you may request to:

Access the data we hold about you
Correct inaccurate information
Delete your data (subject to legal retention requirements)
Export your data in a portable format
Withdraw consent for any optional processing

If you are in the European Economic Area, the United Kingdom, or California, you have additional rights under the GDPR, UK GDPR, or CCPA. We honor all such requests as required by applicable law.

7. Children

The App is for business use by talent managers and their clients. It is not intended for, and we do not knowingly collect personal information from, anyone under the age of 18.

8. Changes to this Policy

We may update this policy from time to time. When we do, we will revise the "Effective" date at the top. If a change is material, we will notify you in-app and by email at least 30 days before it takes effect.
